Every entrepreneur knows how important a stocktake is. It provides exact numbers of certain products in stock and their value. Carrying it out may be a significant problem, especially if the warehouse is not well managed and organized. Would you like to know a tool which allows you to stoke take easily and manage any number of warehouses at the same time?
Warehouse Management System – why is it worth to use it?
You may think it is not a necessary tool if you perfectly know Excel. But isn't it? How long does it take until you find the required piece of information? Do all employees know the values on the spreadsheet? How much data have you lost due to a human error? If any of the answers to these questions is not satisfying for your business, that means you can streamline the warehouse management in your company. Only a few simple actions can change the way you stock take and manage the resources. All those actions can be performed in our comprehensive WMS.
How to do a stocktake in a WMS?
The main and greatest benefit that you will not get from Excel is that the system holds up warehouse entries and releases for the duration of stocktaking. In this way, you can be sure your calculations will reflect the actual state. Only the main manager has the authority to start the process of stocktaking as this will temporarily disable the other functions of the software (adding and removing products). This will help you prevent a situation where a few different employees have different information on the stock levels, which may cause the final numbers to be incorrect. It is worth to take into consideration that the stocktaking will only change the numbers of certain products in the warehouse, not their prices. That means you can edit the number of the available product without changing the price. It is the scenario we would suggest, although it is flexible to some extent. The main manager is not only the only person who can start the process of stocktaking but also the only one who can correct the prices. What is worth to note here is that the change of the price will not cause changes in the history of released products or in the invoices, etc. That means that all the historical statistics will not fall in line with the updated price. As shown by this example, the decisions entailing the greatest consequences can only be made by the main manager. Every user has their access level, which enables the chosen employees to enter and edit data. The access levels are granted at the initial stage of designing the application.
Summing up
Running a warehouse in a system built for that purpose makes it easier not only to manage your products but also to stock take. We all know how difficult it is sometimes to keep our documents organized. Issuing and storing them using a piece of software allows for quick access to key information. A good solution will also let you save the results of any number of previous stocktakes, which will help you analyze and compare them in the future.
